Business Visa

  • A recognised passport or a recognised travel document.The passport or the travel document produced should have validity of 03 months after the expiration of the vaild visa.
  • One legibly and fully completed application form dated and signed
  • One recent passport size (To be glued to the form no staples).
  • A signed invitation letter from a company in Belgium or Luxembourg.
  • Proof of transportation: e.g. confirmed roundtrip or outbound airline ticket, mentioning the dates of departure and return (a reservation will suffice when introducing the application.
  •  A Travel Insurance covering hospitalization and medical repatriation to an amount of at least 30,000 euros.
    1. Self employed applicants :
      1. A covering letter from the company explaining the designation and purpose of trip.
      2. Most recent tax clearance certificate of the company.
      3. Orignal and stamped Memorandum of Articles and Assoication of the company in India or the certificate of Incorporation.
      4. Last 03 months bank statement of the company.
    2. For Salaried applicants :
      1. A letter from the company expalining the designation and tenure of the applicant.
      2. Salary slips of last 03 months.
    3. For applicants attending/participating in Trade fairs and Exhibitions:

      Besides the afore mentioned documentation, you must be able to show convincing documentation about the trade fair / exhibition and its connection /relevance to your business activities ( i.e. in the form of proof of paid stall booking, an original letter from the organization in Belgium which is organizing the trade fair/exhibition etc.

  • If you have already obtained a business visa from this embassy in the past, show proof of these business transactions (original invoices, bills of lading with the related customs clearance papers). It is also advisable to keep hotel bills, money exchange receipts etc. in your file as proof of your sojourn in Belgium in the past.

Important:

  1. The documents listed above are only the basic documents to be submitted in all cases. Additional documents may be requested by the Embassy and Applicants may also be invited for an interview.
  2. All submitted documents must be recent (within the last 06 month). Submitting false documents may be followed by legal action.
  3. The Embassy may ask for verification from the bank/financial institutions for the financial documents provided.
  4. The above mentioned type 'C' visa is for valid for all Schengen countries and is intended for a short stay up to 90 days.
  5. The Embassy also processes applications for Luxembourg.Please take two photocopies of the first page & last page of your passport prior to your submission at VFS.
